I think some of the most obvious ones and the ones that maybe we look at first are the ways that we can reduce our costs for plain old administrative functions like writing letters, doing your accounting. Basic things that we used to have to spend money on and now we can do them ourselves as part of those internal functions that we are going to devote time to.
But I think we miss the point with just looking at that because to me the biggest value is to have an instant distribution channel. It used to be so hard to find your clients; so hard to get access to them. It was like spending a lot of money on mailing lists and having fifty percent of it come back because they weren’t up to date. Now just by turning on the internet you have access to an international distribution channel with millions of people. Your challenge now is not to figure out how to get the distribution list, it’s how to use it. What’s going to catch the attention for your product verses the other millions with the same distribution channel? So again, look at it as a way to bring in that revenue because costs are going to be there and you can reduce them with the computer. And the big advantage is getting out there and getting to that revenue: the part that’s on the outside.

Very helpful. It certainly has been for me. Any of those service organizations will give you a chance to meet some of the movers and shakers of your community. And while just belonging to the organizations and maybe attending a meeting or two won’t bring a lot of business to you, what it will do is give some of the influential people of the community an opportunity to get to know you and to realize that you have certain abilities. So that when they need something that your business provides they automatically think of you. And it is just a very good way to get very active in your community and for people to get to know you.

Most business owners will realize some definite advantages if they get a software program to handle their accounting. The main purpose with accounting software is that it allows the easy production of reports verses having to sit down with manual records and trying to put together your reports. So there is not a lot of time saving when you use the accounting programs except when you get to the report level and that’s where the value comes in. As far as the type of program, what I always recommend is that people talk to their accountant before they jump into a program.

It’s so easy to buy something off the shelf and then realize after getting back to the place of business that it might not be for the company. If you have an accountant that’s familiar with your business, there is a lot of software out there that especially designed for certain industries. So if your accountant deals in your industry, he can put you in touch with the software that would be specific for your company. This will allow you to bypass a lot of the set-up time and go right into some relevant accounting helped by the accountant who is familiar with the software. Even if your accountant is not industry specific, often they have expertise in some of the more popular packages like QuickBooks or Peachtree and if they are comfortable with one or the other packages you would tend to want to go with them so they can look at your data and be able to work with you on a more one on one basis.

First of all, we used to have computers as an option but no longer. Obviously telephones and mobile phones are the ways that you reach people and the way they reach you. But I think a lot of the times the computer has become a bit of a crutch and keeps you on the inside where we know where all the costs are. And it’s really easy and it’s certainly not as threatening to just fire off some emails and do that type of thing.

But I think we need to set goals and say to ourselves: “Today I am going to personally call at least six people and set up at least one meeting.” Because there is no substitute for building that relationship and it’s still something that differentiates you and demonstrates your excitement and persistence about your product. You need to spread that message and it’s very difficult to do that by sitting in your living room all day long typing up emails to people.
So I think we need to look at communication as a tool again but we need to round it out and say: “I am not going to sit here and fire off emails which is the easiest thing for me to do. I am a busy entrepreneur. I am going to use the phone. I am going to call people and I am going to use myself to go out there and generate this excitement about what I am selling.”

When we have staff suffering from information overload it can be a real challenge to communicate with them. This is especially true if our messages are not considered urgent or immediately important to staff. A great way to build awareness of key messages without being intrusive or adding to the email burden is to use screensavers which can act as dynamic billboards around the business.
Snap Shots work just like standard screensavers do…..the difference is:
• They can be quickly and easily changed
• Target-able so different groups can receive different content
• Can communicate passively or solicit a response from staff
• Staff are able to upload one personal image as their own screensaver (optional)
• Delivers messages at a time when staff are often most receptive (i.e. not right in the middle of their work flow)
• Can tempt staff to find out more via click through links
• Brighten up office areas making them more dynamic and engaging. Like changing bill boards around the business.

Screen savers are a great way to build awareness without being intrusive or causing annoyance.
Options include:
• Sequencing images with text
• Countdown clocks
• Flash animated screensavers
• Html screensavers
It is also possible to upload power-point slides or complete animated power-point sequences .
Most screensavers can typically be designed internally in less than half an hour. Web sites like www.bigstockphotos.com make it really easy to find appropriate images. You can also develop templates, e.g. in Power Point, Photoshop or any other similar application for updates such as events, invitations and breaking news which can be updated in a couple of minutes.
